We are looking for a Media Coordinator …
position summary:
The media coordinator is an entry-level media position that assists in the execution of all media planning and buying functions within the Agency. A successful media coordinator thrives in a fast-paced, ever-changing environment and would have it no other way.

areas of responsibility:
Within 30 days:
- Generate non-broadcast insertion orders for all clients, including print, digital, and alternative/out-of-home
- Ensure signed vendor confirmations are received and filed
- Responsible for updating the buy tracker and updating the team with pending deadlines
- Ensure media kits and rate cards are current and stored electronically for access by media department
- Collect media research as requested to assist in building media plans
- Facilitate contract signing, publication requests, deadline extensions etc. as needed
- Active participant in weekly department meetings
- Proficient in Excel – ability to update spreadsheets as needed
Within 60 days:
- Generate spot market radio buys for all clients
- Assist with tracking media expenditures to ensure budget compliance and pulling spend reports as needed by clients / department
- Update the media team on competitive placements
- Upload all ratings data, order any needed reports
- Maintain, update, file, organize media resources
- Including vendor contact lists, media kits, buy tracker
Within 90 days:
- Responsible for accuracy of reporting across all paid media campaigns
- Working knowledge of all often used media tools including Strata, Workamagig, Double Click, Google AdWords,
- Ability to independently attend and report on vendor meetings
- Assist in analysis of vendor proposals
- Provide media updates in weekly staff meetings
- Assist accounting and media departments with media billing
- Responsible for ensuring all digital buys pacing
- Gather and organize competitive research and spending data
Longer term:
- Generate presentations on media buy delivery
- Negotiate and place non-broadcast insertion orders for all clients – includes print, alternative, and digital
- Negotiate and place broadcast for accounts/markets as assigned
- Execute media buys timely and within budget
- Negotiate added value with each buy
- Work with accounting, media planner/buyer, and vendor to resolve media billing discrepancies
- Build strong vendor relationships
- Submit POVs (point-of-view) to account service/clients on media opportunities
- Assist media planner/buyer as needed with flowcharts, presentations, budget reconciliation, makegoods
knowledge and skills:
- Excellent interpersonal skills including demonstrated writing and speaking skills
- Aptitude to quickly learn software tools for planning, buying, tracking, and reporting on paid media placements
- Strong multi-tasking abilities, ability to negotiate, and close attention to detail
- Experience in Excel
- Macintosh operating system proficient
education and experience:
- Bachelor’s Degree in Marketing, Finance, Business, Communications or related field required.
